Patient Appointment

You may schedule patient appointments for any date with ERPNext Healthcare and notify patients via email or text message. Based on their availability schedules, you can quickly arrange appointments with each Practitioner.

1. Prerequisites

These must be made first before making a patient appointment:

  • Patient
  • Healthcare Practitioner
  • Practitioner Schedule

By searching for a patient using their patient ID, name, email address, or mobile number, you can make appointments for enrolled patients. By selecting "Create a new Patient" in the Patient field on the Appointment screen, a new Patient may also be registered.

2. How to Create a Patient Appointment

  1. Click New in the Patient Appointment list.
  2. Decide which Patient you wish to schedule an appointment with. By selecting the patient, the patient's name, gender, and age will be automatically retrieved. The Inpatient Record will also be automatically obtained for the patient if they are an Inpatient (Admitted).
  3. Optionally, you can choose the Service Unit where you want to make the appointment. In addition to the service units with the Allow Appointments option enabled, if you are scheduling an appointment for an inpatient, you can additionally choose the service unit where the patient has been admitted.
  4. The "Appointment Type" and the "Duration (in minutes)" are optional choices. It should be noted that choosing the "Appointment Type" will automatically set the appointment's duration to whatever the Appointment Type specifies. By doing this, you can modify the appointment lengths provided by the Practitioner Schedule, and the time slots will immediately change to the next available time.
  5. Providing the "Mode of Payment" and "Amount" fields in the Patient Appointment is required if you have the Healthcare Settings setting "Automate Appointment Invoicing" checked.
  6. Click the Check Availability button after that. You can choose the Medical Department, Healthcare Provider, and Date for the appointment to be scheduled. All of the practitioner's available time slots will be pulled from the Practitioner Schedule upon selection and displayed along with status indications for the chosen date. You can click Book after choosing a time slot.
  7. Once an appointment has been made, the Service Unit according to the Practitioner and the relevant Status will be established in the document.

3. Features

3.1 Patient Appointment Calendar

On the Patient Appointment list view, select "Calendar" view. Setting the "Color" property in the Appointment Type allows for the differentiation of Appointment Types.

3.2 Appointment Rescheduling

By selecting the Reschedule button on the document and taking the same actions, you can reschedule the patient appointment.

3.3 Managing Schedules

While scheduling patient appointments, the system takes into account any "Approved" leave requests for the Practitioner (the employee who is linked to the master) and disallows scheduling appointments on certain days.

While making a reservation, it also looks for appointment overlaps and prohibits making reservations for the same slots.

3.4 Notes and Referrals

The user can add "Notes" and choose a "Referring Practitioner" in the "Additional Details" section of the Patient Appointment document to help track referrals.

3.5 Out Patient SMS Alerts

You have the choice to set up ERPNext's Healthcare Settings such that "Out-Patient SMS Alerts" would automatically notify patients through SMS when a booking is confirmed.

3.6 Automate Appointment Invoicing

You can enable Automatic Appointment Invoicing configuration in the Healthcare Settings to automatically create a Sales Invoice as soon as a Patient Appointment is scheduled.

With the Healthcare Practitioner master or the Appointment Type master, you can configure default fees for scheduling appointments.

The charge and billing item set up in the appointment type master will take precedence over the one set up in the healthcare practitioner master if the appointment type is chosen in the patient appointment and charges have been set up there. The appropriate billing item and the paid amount are fetched throughout the appointment booking process in accordance with the setup above.

You will also be prompted to choose the mode of payment for invoices during the patient appointment.

3.7 Status Indications

The Patient Appointment's status is indicated by its status. The different Statuses include:

  • Scheduled: when the patient appointment is scheduled at a later date and has not yet begun.
  • Open: when the patient appointment for today was booked.
  • Closed: when a clinical procedure or patient encounter has been developed for the patient appointment.
  • Cancelled: after the cancellation of the appointment.

4. Actions

Note: In order to display the buttons, the user must possess the necessary rights (User Role).

  • Vital Signs: Clicking the Create > Vital Signs button will bring up a new screen where you may enter the patient's vital signs.

  • Encounter: Using the Create > Patient Encounter button, you may immediately create and record the "Patient Encounter" from the Appointment screen to capture the specifics of the visit.

  • Click View > Patient Medical History to see the patient's medical history.

  • To reschedule the appointment, use the word reschedule.
