You can create specific papers automatically within a set time frame using the Auto Repeat feature.

Since version 12, you can customize any Form to create repeated documents.

For illustration, let's say you use the deferred expense approach for some purchases. The same journal entry must be created each month to credit the Deferred Expense account and debit the Expense Account. You can manually write a journal entry for it first, and then you can construct an automatic repeating transaction for it.

1. How to set up Auto Repeat

1.1 Customize the Form

  1. Visit the following links: Home > Customization > Form Customization > Customize Form.
  2. Choose the form in which you want to permit repetitive document production.
  3. To enable the creation of repeatable documents for that Form, select "Allow Auto Repeat." For the document type to appear in the Reference Document field under the Auto Repeat doctype, this is required.

1.2 Set up Auto Repeat

  1. Click on "Home" > "Settings" > "Automation" > "Auto Repeat" > "New."
  2. Choose a reference document type, such as a sales invoice or journal entry.
  3. The Reference Document should be chosen. You want to repeatedly use this specific document.
  4. Decide on the Start and End Dates (optional). Documents that repeat themselves will be created if an End Date is not specified, unless Auto Repeat is turned off.
  5. Set the Repeatable Document Creation Frequency (Daily, Weekly, Monthly, Quarterly, Half-yearly, Yearly).
  6. Save.

1.3 Set up Auto Repeat directly from the document

By choosing the Repeat option from the Menu in the Toolbar, you may also set a document to automatically repeat.

Note: The Repeat option is not available if a document is set to Auto Repeat already.

A prompt for Auto Repeat will appear when you click Repeat. After entering the information, select Save.

2. Features

2.1 Submit on Creation

You have the choice of selecting Submit on Creation if the reference document type is submittable. Your document will be sent when it is created if this is ticked.

2.2 Notify by Email

You can tick the "Notify by Email" box in the Auto Repeat Notification section if you want to email specific contacts whenever the recurring documents are created. The auto-generated repeating papers will be sent to the selected email addresses as a result. These fields are described in detail below:

  • Recipients: Specifies the recipients' Email IDs for emails that will be sent repeatedly to create documents.
  • Get Contacts: This button will retrieve the contacts associated with the document that are set to Auto Repeat and add those contacts to the Recipients box.
  • Template: For the email, you can select an email template. The Subject and Message fields will also be filled in as a result.
  • Subject: Subject line for emails (example: Recurring ToDo created successfully).
  • Message: To be included in the email message.
  • Preview Message: This button will display a message preview.
  • Print Format: To specify the document view that should be emailed to the customer, choose a print format.

Note: If the document you are setting up Auto Repeat for, is submittable, ensure that "Allow Print for Draft" is enabled in Print Settings to receive the new recurring document in Auto Repeat Notification Email. If this is not enabled, you will be notified about the recurring document creation without the document.

2.3 Repeat on a particular day

If the frequency is set to Monthly, Quarterly, Half-yearly, or Annually, repeating documents will be created on the same day as the "Start Date" of Auto Repeat in the corresponding months. You can choose one of the following options if you wish to create repeating papers on a different day:

  • Repeat on Day: the month's first day, when the recurring document will be produced. For instance, if you choose Monthly as the frequency and enter 7, a recurring document will be created on the seventh day of that particular month.
  • Repeat on Last Day of the Month: This choice is available because each month's last day is unique. For instance, the last day of February is 29th in leap years and 28th in regular years. If you select this option, recurring papers will be created on the final day of the corresponding month.

2.4 Ability to select weekdays for Auto Repeat

2.5 Dashboard

The Dashboard of the Auto Repeat document contains the Auto Repeat schedule. The schedule will only display the Next Schedule Date if you don't specify the End Date.

2.6 Auto Repeat Frequency on the sidebar

The frequency of Auto Repeat is displayed in the sidebar when a document is set to Auto Repeat. To view the associated Auto Repeat document, click the status.

2.7 Disable Auto Repeat

The Auto Repeat document will be delinked from the Reference Document if this field is checked, which will stop it from making repeating documents.
